Tour Inclusion and exclusions

Your safari price includes the following unless otherwise agreed 

Permit Fees (where applicable):

Transport Services

  • 4×4 safari vehicle

  • Professional driver–guide

Accommodation & Meals

  • All nights listed in your itinerary
  • Meals as indicated (FB, HB or BB)

Park & Conservation Fees

  • Entry fees for all national parks mentioned in your program

Tour Exclusions

Your safari price does not include:

  • International flights
  • Cross-border visas
  • Tips of any kind (guides, porters, lodge staff, etc.)

What to Pack

For Gorilla Trekking, Chimpanzees and Golden Monkeys Tracking:

  • Rain jacket
  • Waterproof hiking shoes
  • Hand Gloves
  • Lightweight, long-sleeved clothing
  • Facemask 

For Wildlife Viewing:

  • Binoculars
  • Camera gear
  • Sunglasses
  • Comfortable clothes for warm weather
  • Hat or cap for sun protection

Drone Regulations

Drones require advance approval from the Ministry of Defence.

Without authorization, they are confiscated at the airport. Antique Safari Adventures is not responsible for seized drones or related losses.

Booking Your Holiday (After Our Quote Is Approved)

Booking with us is simple and transparent:

  • Approve your quote
  • Pay a 50% deposit (unless otherwise agreed)
  • Receive written confirmation

For last-minute bookings (within 15 days of the tour start date), full payment is required immediately to secure your accommodations and permits.

If you have any special requests—such as dietary preferences, room arrangements, mobility assistance, or important health considerations—please share them when confirming your booking. Our team is always happy to make the necessary arrangements to ensure your comfort and safety throughout the trip.

Cancellations & Refunds 

You may cancel your tour at any time by notifying us in writing via email or WhatsApp.

Gorilla, chimpanzee, and golden monkey Permit Booking – Terms & Conditions
• Permits must be reserved in advance to secure availability.
• Once a permit is reserved, a 7-day window is allowed for payment and confirmation. If payment is not made within this period, the permit will be released and resold to other companies.

Rescheduling Policy
• One free reschedule is allowed if requested at least 14 days before the trekking date.
• Rescheduling within 14 days of the trekking date will incur a 25% charge of the permit cost.
• Permit fees are non-refundable. In case of a no-show, the permit is automatically canceled with no refund.
• These terms and conditions are set by the Government Wildlife Authorities of Uganda and Rwanda , responsible for the conservation and management of Primates tourism.

Refund Policy for Other Services

  • Cancel 14 or more days before the tour starts: Full refund (excluding non-refundable permits)
  • Cancel 7–13 days before the tour: 50% refund
  • Cancel less than 7 days before the tour: No refund

What Happens If We Change Your Tour

In rare cases, if we need to adjust your itinerary due to unforeseen issues, we’ll always offer you three choices:

  • Accept the new arrangement
  • Switch to another available tour
  • Cancel and receive a full refund

Accommodation 

We carefully select the best lodges and partners. While we don’t own all properties used, we:

  • Seek your approval for all accommodations
  • Offer comparable replacements if listed lodges are unavailable
  • Encourage you to review lodges online before confirming.

Limitation of Liability

Antique Safari Adventures Ltd’s total liability is limited to the amount paid for the safari tour.

We are not responsible for indirect, incidental, or consequential losses, such as missed flights, personal expenses, or emotional distress resulting from disruptions beyond our control.

Disclaimer

We strive to provide accurate and up-to-date information in all our materials and on our website.

However, we cannot guarantee there are no unintentional errors or omissions, and we are not liable for any inaccuracies in published content.

Complaints & Dispute Resolution

All disputes shall be governed by and interpreted in accordance with the laws of the Republic of Uganda.

If a complaint arises during your safari, please notify your guide or our team immediately so we can address the issue on the spot.

If the matter is unresolved, written complaints must be submitted within 14 days after the end of the tour.

These Terms & Conditions take precedence over any other verbal or written communication regarding your safari.

Data Protection

We collect personal information only for operational purposes — to deliver your tour effectively and safely.

Your data is stored securely and is never sold or shared except with trusted service providers (e.g., lodges, airlines) involved in your travel arrangements.

Booking Confirmation Process

Once you’ve paid the deposit:

It takes 4–5 working days for payment to reflect in our bank account.

Within 7 days of confirmation, our team secures Permits and  hotel bookings and confirms availability.

You’ll receive written proof of all lodge reservations via email.( if requested)

In the rare event that you are unable to check in due to a booking error by the agency, we will:

Provide a replacement of equal or higher quality in the same area, or

Offer compensation if no suitable alternative is available.

 Payment of Balance & Vehicle Breakdown

The remaining balance is due before the start of your tour — payable in cash or via our online card system.

In case of a vehicle breakdown, a replacement vehicle will be arranged promptly at no extra cost.

Travel Support Commitment

Once your booking is confirmed, we commit to:

Providing clear, timely communication

Offering real-time support for any travel issues before and during your trip

Being available throughout your journey to ensure everything runs smoothly

 Guide & Driver Professionalism Clause

You will be assigned a professional guide and driver who:

  • Has a long-standing relationship with Antique Safari Adventures
  • Is trained in cross-border logistics, wildlife guiding, and guest care

If, during your safari:

  • The guide displays lack of local knowledge, repeatedly takes incorrect routes, or creates mistrust, you may request a replacement.
  • Any unprofessional behavior by the guide will result in an immediate replacement upon request.
